Estates and Trusts Assistant (Part-Time)

The Humane Society of the United States (HSUS), the nation's most effective animal advocacy organization, is seeking an Estates and Trust Assistant (Part-Time) for the Office of the General Counsel. The primary purpose of this position is to support the Manager, the Senior Manager, and the Associate General Counsel in the day-to-day management and administration of HSUS and HSUS affiliates.

This position will be responsible for:

  • Receiving and processing all incoming mail and recording all incoming checks; updating the check status;
  • Creating files for new matters, and entering and/or scanning information into the database; searching the membership database for records and entering appropriate data in both the database and paper files; forwarding files to appropriate team member for further processing; and providing information/documentation to other departments as necessary;
  • Monitoring and managing the estates/trusts email archive folder on a weekly basis and forwarding to appropriate team member for review or further processing;
  • Receiving estate/trust account statements and updating account balances, filing the statement;, providing information to the accounting department as needed;
  • Processing invoices for payment and updating appropriate spreadsheets;
  • Obtaining additional information from insurance or annuity companies, financial institutions, executors, trustees, attorneys and employees;
  • Responding to requests for routine information; producing accurate and professional written correspondence; maintaining paper and electronic files and related lists and reorganizing, purging, and archiving files as needed; and,
  • Assisting with bank deposits as needed and with audits as needed; serving as a backup for telephone coverage for the department and other duties as assigned.


  • High School diploma or formal secretarial training required or equivalent experience;
  • Minimum of three or more years’ experience working in a similar capacity/role preferably in a legal environment dealing with a heavy workload is required;
  • Strong organizational skills and strong attention to detail is required;
  • Must be able to handle sensitive information with discretion and confidentiality along with ability to handle a large number of files and multiple tasks with minimal supervision;
  • Strong communication skills both orally and in writing;
  • Proficiency in MS Office required including MS Access;
  • Must be able to lift 30 pounds.
