Coordinator, Conferences and Events

The Humane Society of the United States (HSUS), the nation's most effective animal advocacy organization, is seeking a Coordinator, Conferences and Events for the Events department.  The primary purpose of this position is to ensure the successful development, management, and execution of the following events:  Animal Care Expo, Taking Action for Animals, Board Meetings, All-Staff Meetings and other events assigned by the Director. 

This position will be responsible for:

  • Planning, coordinating and execution of high profile conferences and meetings;
  • Managing vendors including food & beverage, printing, shipping, audio/visual, transportation, and other outsourced operations;
  • Producing and maintaining all registration materials including but not limited to: data entry, form development – online, confirmations, receipts/invoices, attendee communications, reminders, name badges, closing out events, website content, and maintaining all appropriate historical and database files for assigned events;
  • Responding to attendee inquiries/requests via telephone, email and in person at conferences and/or events;
  • Assisting volunteer engagement team on the development of staff and volunteer need/schedules for Animal Care Expo and Taking Action for Animals events; will be responsible for organizing and producing pre-event supplies (including monitor packets, signs, forms, etc.) for staff /volunteer hospitality area on-site;
  • Developing content for promotional materials including ads, brochures, emails and website;
  • Managing room-blocks;
  • Providing administrative support for speakers, entertainment, and VIPs during events;
  • Providing efficient and friendly, on-site event support by managing event-day registration and supporting registration team members;
  • Maintaining inventory of event materials and supplies and maintain records for budgeting, invoicing and payments;
  • Assisting in development of post-attendee event evaluations to analyze event performance for future improvement;
  • Staying informed on industry trends and best practices; may assist other departments with event needs as available.

Qualifications and Requirements:

  • Bachelor’s degree in hospitality management or similar field, or equivalent work experience required;
  • Minimum 2 years of conference and meeting planning experience required;
  • Non-profit or Association experience is strongly preferred;
  • Must have superior organizational skills, strong attention to detail and ability to work in a fast-paced environment;
  • Must possess demonstrated ability to coordinate, manage and execute several events at one time;
  • Superior written and verbal communication skills and demonstrated ability to meet deadlines while working independently and/or collaboratively;
  • Proficiency in MS Office and with online registration and database systems; experience with Cvent a plus;
  • Must be able to travel and occasionally work extended hours, including evenings and weekends;
  • Understanding of and interest in animal issues preferred.
